Maintenance Items
Concrete
Before the pool opens, we need to get estimates on the concrete repair. Now that the weather is warm enough this needs to be completed. Brian is going to send the schematics to the Board and Jamie for the concrete work based off of photos taken. We will need mulch added to areas between the fence and concrete by Abruzee Landscape. Follow up with email to Jamie for concrete and landscape mulch. This is especially important around the corner of the pool cited by the Health department last year.
Spring Maintenance
We need to get with Jamie for the spring maintenance letter to go out. It is that time of the year to remind owners of the importance of spring maintenance including flowerbed clean up, mowing lawns, power washing and painting, driveway seal. Requesting a copy of the letter Jamie has previously used to review and update as necessary so that it can go out by the end of the month. Jamie can begin to cite owners who are not in compliance.
Community Events
Budget
The Communication and Events committee met last night and put together a list of events for this year. They are requesting budget for the following:
Easter/Spring egg hunt
Pool Party (when the pool opens, most likely date will be May 23)
End of summer/Back to School bash
Annual Fall festival
We are in agreement for budgeting $200 per event. Other community events such as the fireworks for 4th of July we are going to put to s community vote regarding the amount ($0/$500/$1000). Aaron Hibbard has done this for the community for the last couple of years with the help of some donations, but it has primarily been an out-of-pocket expense for him.
We are considering other community events such as a movie night. Greg is going to check into the price of a projector and inflatable screen and share out with the rest of the Board. For the pool party opening weekend, the committee has suggested having a DJ. Greg and Reshecia will contact DJs they know for pricing. We are also going to solicit the community for DJ services/rates.
Other Community Events
Soccer Shots: Greg getting more information on this program but the basics is this offers after school programs and some weekend success activities for 11-18 school age kids. It could be done in the green space on the northside or on the south side behind Carmie. We need more information before we can decide on moving forward this this program offering.
Community Clean-Up Day: Schedule for April 25 - the events and landscape committees are organizing the clean up day. We will provide water and snacks like as did last year. We need volunteers. Post on Facebook.
Township Levy
Levy on the May 5 ballot for a dedicated township deputy. There is a committee working on this. It does not appear to have a lot of support. Hopefully, residents will turn out to vote in favor so that there is a dedicated deputy for this part of Franklin county.
Website Update
Met with Doug, the IT/Webdesigner and are in agreement with the mockup he shared. We would need to pay $500 deposit and then $1,500 upom completion which includes maintenance of the site for a year. Before we make final decision, Reshecia is reaching out to Emily Anthony again for an update on the work she has done on the site, subscription to Squarespace and information not he domain name and purchase. This is an annual fee so we need to check to see what the purchase was originally so that we keep ownership of the domain. It is a one year or two year purchase.
We are also checking with Jamie on getting an Board HOA credit card for purchases such as this rather than getting reimbursed when one of us pays out of pocket for HOA items. Having an HOA credit card would enable us to have subscriptions such as this auto bill and paid directly from Omni in the budget. We want the website to be the official form of communication with email from Omni as backup.1.
